1. Who we are
SylhetiSpouse is a matrimonial introduction platform. We are the data controller for all personal data collected through this platform. Our registered company details and ICO registration number are set out at the end of this policy.

2. What data we collect and why
2.1 Account and profile data
We collect the following to create your account, display your profile to other members, and operate the matching service. We need this information to provide the service you have signed up for. Without it we cannot create or display your profile.
- Account details: email address, password (stored encrypted), date of birth
- Profile information: name, gender, location, education, occupation, marital status, height and build, legal status in the UK, family origin in Bangladesh, and free-text descriptions about yourself
- Partner preferences, including optional free-text fields where you describe your expectations for marriage
- Contact number, and the relationship of that person to you. Male members may provide their own number or that of a family member. Female members should provide their Wali (Islamic guardian) contact number.
Where the number you provide belongs to someone else, you must confirm that they know their number will be shared with potential matches and have agreed to this.
Where a female member provides a contact number that is not their Wali's, we ask for a short explanation. This is seen only by our admin team and is never shown to other members.
Where a profile is created by a family member on behalf of an applicant, the person registering must confirm that the applicant knows about the registration and has agreed to it. If a profile has been created about you without your agreement, contact us at privacy@sylhetispouse.co.uk and we will remove it.
2.2 Religious and ethnicity information
The following fields contain special category data under UK GDPR because they reveal religious beliefs and ethnic origin. We rely on your explicit consent to process them:
- Islamic practice, a free-text description of your beliefs and practice
- Whether you are a revert or born Muslim
- Ethnicity, free text
- Appearance, including whether you wear Hijab or Niqab, and beard preferences, as these may indicate religious practice
You may withdraw consent for these fields at any time by contacting us and we will remove them. Please note that without this information your profile may not be usable for matching, and we may need to close your account as a result.
2.3 Photos
Photos are optional. You may upload up to two, and they are not displayed on your profile. Another member can only see them if they request access and you approve, and they are then visible for a short time only. We need this to provide the photo feature.
2.4 Payment and subscription data
Payments are processed by Stripe. Card details are entered directly with Stripe, and we never see or store your card number. We keep a record of your payment including the amount, date, status, and the subscription period it covers. We hold this to provide your subscription and to meet our legal obligations for tax and accounting records.
2.5 Activity records
We keep records of activity on the platform, including interest requests, photo requests and viewings, archived matches, profile edits, and administrator actions, so we can run the service, resolve disputes between members, and investigate misuse or safety concerns. We hold this on the basis of our legitimate interests in operating the platform and keeping members safe.
We also retain records of reports made by members, of our investigation of those reports, and of any enforcement action taken. Where we have reported a matter to the police or another authority, or where we have received a preservation request, we suspend our normal deletion schedule for the relevant account until the matter is resolved.
2.6 Marketing emails (optional)
With your consent, we may send you newsletters, updates, offers and information about the service, including messages about completing your profile or subscribing. You can withdraw consent at any time using the unsubscribe link in any marketing email, or by contacting us.
3. Who receives your data
Your profile is visible to other members only once you have an active membership. Members with full access can see your full profile. Members without a subscription see a summary only.
Your contact number is private. It is shown to another member only when both of you have confirmed on the site that you wish to share numbers. Contact numbers are never sent by email. If either member archives a match after numbers have been shared, the contact details are withdrawn and are no longer visible to either side.
Notification emails never contain photos, contact numbers or personal details.
Platform administrators can see all profile data including contact numbers and photos, for the purposes of approving profiles, moderating content and administering the platform. We may contact members directly where something on a profile needs checking.
We use the following third-party services, each acting under our instruction:
- A cloud infrastructure provider: database, authentication and file storage. Data hosted within the EU (Ireland).
- An email delivery service: transactional and notification emails.
- Stripe: payment processing.
- A content delivery provider: website hosting. No personal data is stored on their network.
We do not sell your data to any third party.
4. How long we keep your data
- Active profiles: kept while your account is active
- Accounts with no approved profile: where an account is created but no profile is submitted or approved, it is deleted after 12 months of inactivity, or earlier
- Deleted accounts: permanently deleted within 30 days of your deletion request, or earlier
- Photos: deleted with your account
- Activity and safety records: kept for up to 12 months, then deleted
- Payment and transaction records: 6 years, to meet UK tax and accounting requirements
- Marketing consent records: retained for compliance purposes. If you withdraw consent you will be removed from marketing within 30 days.
- Enforcement records: where an account is permanently removed for a serious breach of our Safety and Enforcement Policy, we retain the email address, the date, the category of breach, and a short factual note of what occurred. This prevents that person registering again, and allows us to respond to any appeal or to a request from the authorities. The profile, its content and any photographs are deleted. Where the removal is permanent, the record is retained for as long as the ban remains in force. We review these records at least once a year and delete any that are no longer necessary. Our lawful basis is legitimate interests, namely protecting members from a removed member returning under a new account. You may ask us for a copy of any record we hold about you, ask us to correct it, or object to us holding it, by contacting privacy@sylhetispouse.co.uk.
5. Your rights
Under UK GDPR you have the right to access your data, correct it, have it deleted, restrict how we use it, receive it in a portable format, object to processing, and withdraw your consent where consent is our lawful basis. To exercise any of these rights, contact privacy@sylhetispouse.co.uk. We will respond within one calendar month.
If you withdraw consent for marketing emails, your account will continue as normal. If you want us to stop holding your data entirely, this means closing your account, as we cannot operate your profile without it.
6. Complaints
If you are unhappy with how we have handled your personal data, you can complain to us directly at privacy@sylhetispouse.co.uk. We will acknowledge your complaint within 30 days, investigate it, and tell you the outcome in plain language.
If you are not satisfied with our response, you have the right to complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.
7. Age requirement
This platform is for adults aged 18 and over only. Date of birth is required at registration and is self-declared. Where the date entered indicates the applicant is under 18, no profile is created, the account cannot be approved, and the applicant cannot be seen by or interact with any other member. The account is flagged to the administrator and we delete it, together with all data held about the applicant, as soon as we identify it and in any event within 2 working days of it being flagged.
8. Cookies
We use only essential session cookies required to keep you logged in. No advertising or tracking cookies are used.
9. Changes to this notice
We may update this notice from time to time. The latest version will always be published here, and we will notify members of significant changes.
10. Law enforcement requests
We may disclose personal data to UK law enforcement or regulatory bodies where required by law, such as in response to a court order, warrant, or a formal request under the Data Protection Act 2018. We assess every request individually and only disclose what is legally required. Requests should be sent to privacy@sylhetispouse.co.uk on official letterhead, stating the legal basis for the request. Where legally permitted, we will notify the member concerned.
We acknowledge law enforcement requests within 1 working day. We verify that every request is genuine before disclosing anything, contacting the relevant force or body through its own published official channels rather than relying on contact details supplied in the request. We respond as quickly as the request allows, and within 10 working days wherever possible. On receiving a preservation request we preserve the relevant records and suspend our normal deletion schedule until the matter is resolved. We also report proactively to the police, the Internet Watch Foundation and other relevant United Kingdom authorities where we identify content or conduct of the kinds described in our Safety and Enforcement Policy.
